Privacy Policy

1. Who we are

Imbued Wellness is a health and wellness coaching practice run by Annette Callan ("we", "us", "our"). Imbued Wellness LLC is a Washington limited liability company located in Port Orchard, Washington. This policy explains what personal information we collect through this website and through our coaching services, how we use it, and the choices you have.

2. Information we collect

When you use this website

• Contact form. Your name, email address, phone number and the message you write. The form sends your message to our inbox by email. The website does not keep a copy.
• Newsletter sign-up. Your email address, the date you signed up and which form you used. Each address gets a private unsubscribe link.
• Technical information. Like almost every website, our hosting providers process your IP address, browser type and the pages you request, in order to deliver the site and to protect it from abuse (for example, limits on how often the forms can be sent).
• Visitor statistics. We use Cloudflare Web Analytics to count page views. It does not use cookies and does not track you across other websites.

When you work with us as a coaching client

• Your contact details and scheduling information.
• Health and wellness information you choose to share, such as your goals, health history, habits, sleep, nutrition, activity and how you are feeling, and our notes from your sessions.
• Payment records. Card payments are handled by Stripe; we never see or store your full card number.

You choose what you share with us. Please share only what you are comfortable with.

3. Cookies and tracking

This website does not use cookies, advertising trackers or social media pixels, and it does not load fonts or scripts from other companies apart from the Cloudflare visitor statistics described above.

4. How we use your information

• To answer your messages and questions.
• To provide, schedule and personalize your coaching.
• To send the newsletter you signed up for.
• To keep records we are required to keep, such as payment records.
• To keep this website secure and working.

We do not sell or rent your personal information, and we do not use it for targeted advertising.

5. Health information

We treat everything you share about your health as confidential. Imbued Wellness is a coaching practice, not a medical provider, so it is not a "covered entity" under HIPAA. We protect your health information anyway, and we share it only as described in this policy or with your permission.

6. Who we share information with

We share information only with the service providers that help us run the practice, and only what they need to do that job:

• Website and database hosting: Microsoft Azure, operated for us by As You Wish Software, Inc.
• Email delivery for the contact form: MailerSend.
• Our email: Microsoft 365.
• Visitor statistics: Cloudflare.
• Card payments: Stripe.
• Scheduling: Calendly.
• Video sessions: Zoom or Microsoft Teams.

We may also disclose information if the law requires it, or if we believe in good faith that it is necessary to prevent serious harm to you or someone else.

7. The YAWI app

If we invite you to use the YAWI app to track your habits, the app is provided by As You Wish Software, Inc. under its own privacy policy. We can see the information you choose to share with us in the app, and we use it only to coach you.

8. How long we keep information

• Contact form messages: in our email for as long as we need them to respond to you and, if you become a client, for the length of our coaching relationship.
• Newsletter sign-ups: until you unsubscribe. After that we keep only a record that you unsubscribed, so we do not email you again.
• Client records: for 3 years after your last session, then deleted.
• Technical logs: about 30 days.

9. How we protect information

The website is served only over encrypted connections (HTTPS), and access to our systems is limited to the people who need it. No method of storing or sending information is perfectly secure, so we cannot promise absolute security, but we take reasonable care to protect what you share with us.

10. Your choices and rights

• Newsletter. Use the unsubscribe link in any newsletter email, or email us.
• Access, correction and deletion. You can ask to see the personal information we hold about you, to correct it, or to delete it. Email us and we will respond within 30 days. We may need to confirm your identity first, and we may keep records the law requires us to keep.

Depending on where you live, you may have additional rights under state law. We will honor them. Washington residents: see our Consumer Health Data Privacy Policy.

11. Children

Our services are intended for adults aged 18 and over. This website is not directed at children under 13, and we do not knowingly collect their information.

12. Changes to this policy

We may update this policy from time to time. The date at the top shows when it last changed. If we make a significant change, we will say so on this website or, for clients, tell you directly.
